Description

Free Your Mind (FYM) is recruiting a Director of Communications. This is a vital leadership position designed to manage internal communications and serve as our essential back-end organizer. This role is ideal for an organized, detail-oriented individual with professional experience, preferably in not-for-profit administration, internal communications, or human resources management, who is passionate about youth mental health and wants to leverage their expertise to strengthen community infrastructure.

The Director of Communications works closely with FYM’s Officers and Board of Directors to ensure smooth organizational operations, meticulous record-keeping, and clear communication channels across our volunteer network. You will be responsible for overseeing the entire onboarding and offboarding pipeline, managing recruitment documentation, coordinating specialized mental health certifications, and administering key volunteer retention policies.

This is a strategic, forward-thinking role that requires both big-picture organization and practical execution skills. You should be comfortable managing data, coordinating schedules, and directly supporting the Co-Executive Directors to adapt to organizational growth. Recommended Skills

  • Experience in internal communications, not-for-profit management, human resources, or organizational development

  • Excellent organizational and back-end administrative expertise

  • Strong communication, presentation, and direct outreach skills

  • Proven track record of managing detailed documentation, compliance records, and database updates

  • Ability to work collaboratively with youth-led teams

  • Strong conflict resolution skills and the ability to navigate sensitive volunteer inquiries

Responsibilities

1 Onboarding, Offboarding & Training Management

  • Manage the entirety of the training process, including organizing, scheduling, following up, and keeping accurate records for all modules.

  • Direct the complete onboarding and offboarding procedures for all FYM volunteers.

  • Coordinate and track mandatory training materials and external certifications, including the BeThere Certificate and Jack Talk.

  • Collect, organize, and maintain secure records of volunteer emergency contact information.

  • Check volunteer availability and coordinate all required training meetings.

  • Make announcements and directly communicate with volunteers regarding mandatory training items and deadlines.

  • Follow up on incomplete milestones and maintain comprehensive documentation of completed training.

2 Rescruitment Support

  • Coordinate the interview period scheduling between applicants and team directors.

  • Manage all back-end procedures, including keeping track of applicant documentation and updating the volunteer master list.

  • Serve as the main point of contact for emailing external parties, such as applicants and interested individuals.

3 Volunteer Accountability & Systems

  • Serve as the first point of contact for FYM’s “3 Strikes System.”

  • Track and document strikes while providing initial support if a volunteer has questions or concerns.

  • Monitor volunteer contract timelines and notify directors when contracts are about to expire so they can initiate renewal conversations.

  • Track and archive signed contract renewals and update the volunteer master list accordingly.

4 Executive Support

  • Directly assist the Co-Executive Directors and complete additional tasks as assigned by executive leadership.

  • Collaborate flexibly with other directors to step in where capabilities and availability align to support the wider organization’s growth.

5 Internal Communications Coordination

  • Act as the primary point of contact for internal communications

  • Collect availability of Board Members & Team Directors as needed and find meeting times that accommodate these availabilities

  • Schedule and advertise Board Meetings and Annual General Meetings (AGMs) as needed
